POPIA Privacy Notice

1. Who we are

Afrivex Equipment (Pty) Ltd (Reg 2026/298202/07, VAT 4000000000), 8, 12 Incubation Dr, Riverside View Ext 15, Midrand, 2021, is the responsible party for personal information collected through this website, our virtual sales agent, our quotation system and our procurement correspondence.

3. What we collect

  • Identifying details: name, company, role, VAT number.
  • Contact details: email address, phone number, working address.
  • Procurement context: industry, region, application, monthly hours, quantity, finance method, urgency, BBBEE relevance.
  • Interaction logs: chat transcripts with our virtual sales agent, quotation activity (created, sent, opened, accepted, escalated).
  • Technical data: IP address, browser type, cookie identifiers.

4. Why we process it (lawful basis)

  • To respond to your enquiries and prepare quotations (performance of a contract or steps to enter into a contract).
  • To meet legal and regulatory obligations (tax, BBBEE verification, anti-fraud).
  • To pursue our legitimate interest in operating, securing and improving our sales platform.
  • For direct marketing of related goods and services — only with your consent (Section 69 of POPIA). You can opt out at any time by replying "STOP" or emailing us.

5. Sharing

We share personal information with our payment, finance, logistics and email-delivery providers strictly to fulfil quotations and orders, with our internal CRM (EquipPro), and where required by law or regulator request. We do not sell your data.

6. Retention

Quotation and lead records are retained for a minimum of 5 years to meet South African tax and accounting requirements. Marketing consents are retained until withdrawn. Chat transcripts are retained for 24 months for service quality and dispute resolution.

7. Your rights

Under POPIA you may request access to, correction of, or deletion of your personal information; object to processing; and lodge a complaint with the Information Regulator (inforegulator.org.za). Contact our Information Officer to exercise any of these rights.

8. Cross-border transfers

Email delivery, hosting and analytics providers may store data outside South Africa. Where this is the case, we ensure equivalent protection via contractual safeguards as required by Section 72 of POPIA.

9. Security

We apply technical and organisational safeguards (encryption in transit, access controls, audit logs) to protect your information, and notify the Information Regulator and affected parties of any security compromise as required by Section 22.
